DEVELOPMENT & BOX OFFICE ASSOCIATE

Full-time | 35 hours/week | $25/hour

Location: Montreal, Quebec (in-person)

Centaur Theatre Company is seeking a Development & Box Office Associate to join our dynamic, fast-paced team in the heart of Old Montreal. This is a varied role that combines Box Office operations, patron relations, fundraising administration and support for special events. The successful candidate will be an organized and detail-oriented professional who enjoys working with people, is comfortable managing a range of administrative responsibilities, and has an interest in the performing arts and the work of a not-for-profit cultural organization.

THE POSITION

The Development & Box Office Associate works within the Development Department in collaboration with the Box Office team. The position provides administrative support for Centaur’s fundraising (Development) activities while also contributing to the effective operation of the Box Office and the delivery of excellent service to patrons and donors.

The position requires some evening and weekend work, including opening nights, committee meetings, fundraising events and other special events.The typical weekly schedule will be from Tuesday to Saturday inclusive.

KEY RESPONSIBILITIES

Box Office & Patron Relations

  • Provide professional and courteous service to patrons through Box Office communications and in-person interactions.
  • Work assigned performance calls, including supervising part-time Box Office staff and ensuring the smooth operation of the Box Office during performances.
  • Assist with the training, scheduling and management of part-time Box Office staff and casual Development staff and volunteers, in collaboration with the Box Office Manager and Development Director.
  • Work with Box Office staff to maintain accurate contact and organization names and addresses.
  • Manage the dissemination of reminder and survey emails.
  • Be responsible for, or delegate, opening and closing the building as required.

Spektrix & Data Management

Spektrix is a cloud-based box office, ticketing, and customer relationship management (CRM) software built specifically for arts, culture, and live entertainment organizations.

  • Develop and maintain knowledge of Spektrix and support its use and management throughout the organization.
  • Manage data entry and the organization of solicitation, invitation and donor lists.
  • Prepare Development reports as required to track fundraising revenue and support accurate financial reporting.
  • Assist in maintaining accurate donor and patron records.

Development & Fundraising

  • Provide administrative support for a range of Development Department initiatives, including:
    • Individual fundraising campaigns
    • Corporate fundraising
    • Capital campaigns
    • The annual Gala and other special events
    • Donor stewardship and communications
  • Responsibilities include:
    • Providing clerical and administrative support to the Development Director and fundraising volunteers/canvassers.
    • Coordinating with the Marketing Department on solicitation materials for fundraising campaigns and events.
    • Tracking donations, payments and pledges.
    • Communicating with donors regarding tax receipts, donor benefits and other donor-related matters.
    • Supporting the preparation of reports and materials for fundraising volunteers, committees and Board meetings.
    • Conducting prospect research as required.
    • Providing logistical and administrative support for special events and fundraising activities.

QUALIFICATIONS & SKILLS

The successful candidate will have:

  • Excellent oral and written communication skills in English, and a working knowledge of French.
  • Strong organizational and administrative skills, with excellent attention to detail.
  • Strong computer skills, including Microsoft Word and Excel.
  • Accurate typing and data-entry skills.
  • The ability to manage multiple priorities and meet deadlines.
  • A professional, friendly and service-oriented approach to working with patrons, donors, colleagues and volunteers.
  • The ability to work independently while contributing effectively to a team environment.
  • An interest in the performing arts and/or the not-for-profit cultural sector.
  • Flexibility to work evenings and weekends as required.

Assets

  • Experience working in a performing arts, cultural or not-for-profit organization.
  • Experience with Box Office operations or customer service.
  • Experience with Spektrix or another ticketing/CRM system.
  • Experience in fundraising, development or donor relations.
  • Experience supporting special events.
  • Knowledge of the Montreal arts and cultural community.
