Gay & Grey: Administrative & Communications Assistant

The Administrative & Communications Assistant plays a central role in supporting the operations and communication needs of Gay and Grey Montréal (GGMTL). This position will take over all existing administrative, communications, and member-support responsibilities.

The assistant will oversee and support member relations, internal communications, newsletters, digital content updates, administrative procedures, and key organizational gatherings. This person will also co-supervise the work of the Communications Assistant, who will be responsible for Social Media, the Monthly Calendar and the Newsletter.

This position is ideal for someone from the Gay and Grey community who understands the needs of older 2SLGBTQI+ adults and is passionate about building a welcoming, accessible, and inclusive environment.

Key Responsibilities

Member Services & Administrative Support

  • Serve as the primary point of contact for members by email and phone.
  • Manage new member intake, renewals, profile updates, and membership lists.
  • Maintain accurate databases and digital records.
  • Support the General Manager with administrative coordination and planning.

Communications & Outreach

  • Co-supervise the preparation of, and send the monthly calendar, newsletter and weekly updates.
  • Ensure clarity, accessibility, and appropriate tone for older adult audiences.
  • Ensure all communications adhere to GGMTL’s voice and branding standards.

Website & Portal Content Updates (Asset)

  • Update text and event listings on the GGMTL website (Wix).
  • Post content, photos, and announcements to the Member Portal.
  • Provide basic support to members who need help navigating the portal.

Skills & Qualifications

  • Strong administrative and organizational skills.
  • Excellent written English; conversational French is an asset.
  • Experience writing newsletters, member communications, or community updates.
  • Comfort using Google Workspace, Mailchimp, Canva, WIX, and basic website editors.
  • Empathetic communication style that supports older adults.
  • Ability to supervise and coordinate tasks with collaborators.
  • Experience working with 2SLGBTQI+ communities and/or older adults is an asset.
  • Ability to work independently and manage several priorities at once.

Terms

  • Hours: 28 hours/week (flexible, with some evenings/weekends for events).
  • Location: 95% remote with  regular in-person meetings in Montreal
  • Salary: $30/hour.
  • Term: Contract ending March 31, 2027, with possibility of renewal depending on funding.
