Job Posting: Project Coordinator for ELAN’s Trellis Micro Grant project (TMG)
Term of Contract: December 2, 2024 – March 2028
Schedule: 28 hours per week. Flexible/ hybrid
Remuneration: $30,500 -$ 34,900 per year.
Language(s) of work: The successful candidate will be fluent in English and have a working knowledge of French (ELAN serves English-language artists and arts organizations, offering services primarily in English)
Location: ELAN’s offices are located at #708-714, 460 Sainte-Catherine Street W., Montreal and the Project Coordinator may work from a remote location with occasional visits to the office for meetings and consultations. This position may also require the Project Coordinator to travel to areas outside the Greater Montreal area.
Please note: This position is dependant on successful funding approval of the Trellis Micro-grant project.
About ELAN
ELAN (English Language Arts Network) is a non-profit organization devoted to helping Quebec’s English-language artists connect with one another, with their francophone colleagues, and with audiences in Quebec, Canada, and internationally. Our members include artists and organizations representing many artistic disciplines and regions of Quebec. ELAN encourages an evolving Quebec identity that celebrates social, cultural, and artistic diversity.

About the TMG project:
The TMG project, supported by The Department of Canadian Heritage’s, Official Languages Support Programs, seeks to highlight English-language Arts and Artists to make them visible to a boarder community, and build bridges between Québec’s English-speaking minority and Francophone majority.
Projects supported will be those that seek to strengthen the English-language community sense of belonging in Quebec, though arts and culture. Projects must seek to increase intra- and inter-community appreciation and provide more opportunities for cooperation. The goal of the funding is the promotion of the English-speaking artistic communities’ contributions to Québec’s development and/or to create more opportunities to bring the English- and French-speaking communities closer together.
The TMG project will see over $1,200,000 in micro-grants distributed to artists and arts organization over the 4 years.
Job Description:
Working closely with the ELAN’s Director of Operations, who will be acting as Project Manager, and working under the oversite of the Director of Programming, the Project Coordinator will oversee the applications for and transparent distribution of micro-grant funding to artists and arts organizations. Tasks include:
• Finalizing all documentation related to micro-grant funding (application, jury forms, letters of acceptance/ rejection)
• Identify and recruit potential jury members
• Assist with project promotion through outreach and seek to ensure regional participation.
• Assist in communication and promotion of project activities
• Prepare agendas, tools, and documentation of jury process
• Plan logistics for jury meetings
• Provide follow-up support to successful applicants
• Compile and analyse results of funded activities
• Produce bi-monthly reports for Board meetings and annual project report for inclusion in ELAN’s AGM package.
• Assist with reporting to funder
• Maintain the working budget and coordinate invoicing and payments for project including jury members.
• Prepare an annual work plan, and revise based on the experience of the previous year.
• Ensure that budget and work plan are respected, or altered as necessary, after consultation with Project Manager
Necessary Qualifications
● Strong familiarity with Quebec arts and culture sector, particularly English-speaking arts communities
● Experience or deep understanding of challenges facing marginalized English-speaking artists in Quebec
● Understanding of issues related to equity, diversity, inclusion, and accessibility in the arts
● Excellent oral and written English
● Intermediate oral and basic written French
● Excellent interpersonal communication skills
● Experience collaborating with diverse teams
● Strong organizational skills: ability to prioritize and follow through on a variety of tasks
● Resourceful, with creative problem-solving skills and the capacity to work autonomously
● Ability to gather and synthesize information from multiple sources and perspectives
Desired Experience:

Accessibility
ELAN is not located in a fully accessible building. There is a wide doorway at the front entrance, and five steps in the lobby leading to the elevators.
